المهام و الواجبات
- Keep the Head of Department informed of his daily/weekly schedule.
- Coordinate office staff activities to ensure maximum efficiency.
- Compose and prepare correspondence, reports, and presentations, prepares minutes, and maintains appropriate files.
- Coordinate activities of the office staff (to include, but not limited to filing, telephone answering techniques, preparation of documents, record retention, duplication, faxing, mail distribution, and ordering of supplies).
- Coordinate office projects to achieve efficient office flow and employee productivity, training, supplies, office equipment maintenance and repairs, housekeeping, facility maintenance/management.
- Conduct support staff meeting as deemed necessary. Assures that new staff received departmental orientation.
- Maintain continuity of work operations by documenting and keeping proper record manually and electronically, suggest actions for improvement to the management if required.
- Provide recommendations for department goals, policies and procedures, statistical reports, and process improvements.
- Perform other applicable tasks and duties assigned within the realm of the employee’s knowledge, skills and abilities.ض
المهارات
- Experience/familiarity with word processing, spreadsheet program, e.g., Word, Excel and other Microsoft Office Applications.
- Minimum of forty-five (45) words per minute typing speed (including typing from audiotape and shorthand).
- High standard of written and oral communication skills in English.
- Excellent inter-personal skills with the ability to deal calmly with tact and diplomacy to ensure good rapport with other hospital staff.
- Good communications, organizational and administrative skills.
- Initiative and ability to prioritize tasks and work to deadlines in a busy office environment, without direct supervision.
