Job Description

Demonstrate a contemporary and in-depth understanding of medical secretary theory, practice, policies, procedures, and equipment.

Complete required competenciesand be responsible for, but not limited to, the following:

Administrative Support:

Provide comprehensive administrative support to the department.

Maintain accurate and organized records, including patient files, departmental documents, and correspondence.

Document Preparation:

Prepare, proofread, and edit documents, reports, and presentations for the department.

Ensure all documents are accurate, confidential, and adhere to hospital guidelines.

Transcribe final discharge summary, medical referral/report whenever needed.

Filing and Records Management:

Maintain a well-organized filing system for departmental records, including patient records and administrative documents.

Assist in record retrieval and archiving when necessary.

Transcribes history, physical, consultation, operative, pathology and any other reports/documents as dictated by the physician – notifying physicians of missing or inaudible dictation.

Stays abreast on relevant laws, regulations, and industry trends related to medical administration through ongoing professional development activities, such as attending conferences, workshops, and staying updated on relevant medical literature.

Provides assistance and training to other staff as, and when, required.

Arrange and attend meetings as requested by the head of the department/section, and takes and transcribe minutes for approval as necessary.

Participates in CQI&PS System Control Activities, Staff Development, Environmental Safety Awareness and Fire and Safety Practices, Disaster, CPR and Infection Control.

Performs other applicable tasks and duties assigned within the realm of his/her knowledge, skills and abilities.
