Carry out the full range of secretarial duties within the department.

The employee will:

1. Deal with all incoming and outgoing mail, including typing from audio and shorthand, and record it before filing in a manner appropriate to the department needs.
2. Answer telephone enquiries, make appointments and attend to any visitors to the Department.
3. Arrange and attend meetings as requested by Superiors and take and transcribe minutes for approval as necessary.
4. Assist in the production and distribution of correspondence.
5. Perform all other office duties necessary to ensure the smooth and efficient running of the administrative side of the department.
6. Keep attendance record of staff and prepare monthly timesheet.
7. Respond to inquiries.
8. Cover Personal Assistant during leave/absence.
9. Perform other applicable tasks and duties assigned within the realm of the employee’s knowledge, skills and abilities.

1. Experience/familiarity with word processing, spreadsheet programs, e.g., Word, Excel and other Microsoft Office Applications.
2. Typing skills at a minimum speed of 45 words per minute.
3.  Shorthand skills of 80 words per minute.
4. Good standard of written and spoken English.
5. Ability to work effectively within a multi-cultural environment.
6.   Ability to exercise tact and diplomacy in dealing with PAMMC staff.
7.  Ability to work diligently and accurately on repetitive tasks.
8.   Respect department confidentiality code of practice.
9.   Ability to prioritize workload on a daily/weekly basis.
