Job Description
Carry out the full range of secretarial duties within the department.
The employee will:
- Deal with all incoming and outgoing mail, including typing from audio and shorthand, and record it before filing in a manner appropriate to the department needs.
- Answer telephone enquiries, make appointments and attend to any visitors to the Department.
- Arrange and attend meetings as requested by Superiors and take and transcribe minutes for approval as necessary.
- Assist in the production and distribution of correspondence.
- Perform all other office duties necessary to ensure the smooth and efficient running of the administrative side of the department.
- Keep attendance record of staff and prepare monthly timesheet.
- Respond to inquiries.
- Cover Personal Assistant during leave/absence.
- Perform other applicable tasks and duties assigned within the realm of the employee’s knowledge, skills and abilities.
Skills Description
- Experience/familiarity with word processing, spreadsheet programs, e.g., Word, Excel and other Microsoft Office Applications.
- Typing skills at a minimum speed of 45 words per minute.
- Shorthand skills of 80 words per minute.
- Good standard of written and spoken English.
- Ability to work effectively within a multi-cultural environment.
- Ability to exercise tact and diplomacy in dealing with PAMMC staff.
- Ability to work diligently and accurately on repetitive tasks.
- Respect department confidentiality code of practice.
- Ability to prioritize workload on a daily/weekly basis.
