Duties and Responsibilities
• Familiarize herself/himself with the hospital organization, Committees and their functions, Hospital regulations and policy and procedures, etc.
• Familiarize herself/himself with the organization of the Department and the functions of the different section within the department.
• Liaise actively with the hospital department to update essential files pertinent to regulations concerning Human Resources, Contracting and other related issues.
• Attend meetings (as assigned), take minutes and prepare them for review/approval within 72 hours.
• Receive and read incoming correspondence, prepare summary and retrieve/recall previous related correspondence to allow quick actions by Administration.
• Take notes and directives from the Administration to edit ongoing correspondence.
• Use reference system to log incoming and outgoing documents, to facilitate their retrieval when required.
• Develop a manual computerized system to allow finalization of staff evaluation and recontracting documents in a timely fashion (i.e., 3 weeks before their due date).
• Develop a manual or computerized planner to allow effective actions and follow up on staff vacations.
• Maintain a strict code of ethics, and secure confidential documents and information.
• Assist in the preparation of presentations when required, using computer skills, etc. as appropriate.
• Arrange meeting timetable to facilitate better subject and time management.
• Remind the Administrators to fulfill their timetable commitments.
• Remind appropriate personnel to respond to or update documents before the due time. (This is possibly done by activation of a \"follow-up book').
• Receive messages/calls and divert them to the appropriate area/person.
• Prepare letters and contracts required for new staff to welcome and help them commence their duties smoothly and on schedule.
• Perform other applicable tasks and duties assigned within the realm of the employee's knowledge, skills and abilities.
